Administrative Assistant / Office Manager Position

About Us: The Beck Group is a forest products planning, consulting and benchmarking firm based in Portland, Oregon that is seeking to hire an Administrative Assistant/Office Manager.  Our company is involved in a wide variety of projects, including feasibility studies, strategic planning, timber resource assessments, due diligence, and industry benchmarking studies. 

 

This position – at present – is part time for approximately 20 hours per week, with occasional additional hours required to meet the obligations of a project.  The successful candidate must be highly organized, thorough, and very detail-oriented, in addition to being someone who enjoys learning and taking on new responsibilities.  The qualified individual will need a good understanding of grammar and punctuation for editing documents and have a good working knowledge of Word, Excel, and Power Point.

Responsibilities include general office management (ordering supplies, maintenance of files-digital and hardcopy, etc.), bi-monthly invoicing clients, processing accounts receivable (including tracking overdue invoices), answering phones, and editing/proofing/formatting documents. Administrative tasks related to employee benefits, business licenses, publications/subscriptions, monthly staff meetings, and office space layout and organization.

Other Responsibilities / Areas of Expertise:

  • Assist other staff with developing and updating Word reports/documents, PowerPoint presentations, and Excel spreadsheets

  • High degree of proficiency with MS Office, especially Word (Styles, Tables, Track changes, mail merges, TOC, footnotes, footers/headers, etc.)

  • Strong analytical, interpersonal, and problem-solving skills

  • Strong verbal and written communication skills

  • Good organizational capabilities

  • Knowledge of QuickBooks (for invoicing)

  • Confidence to learn and perform periodic website updates in WiX.

Requirements:

  • 3-5+ years of experience, preferably as an Administrative Assistant

  • High level of diplomacy and confidentiality

  • Strong knowledge of Microsoft Office

  • Excellent communication skills

  • Team player

  • Independent worker

  • College attendance and/or degree desirable

Starting Wage is between $20-$25 per hour, based on experience and qualifications, plus annual bonus.
